Privacy Policy

1. Who we are

TOP Academy is operated by The Outsource People Inc. (“TOP”, “we”, or “us”). This Academy-specific notice supplements TOP’s general Privacy Policy. That policy covers TOP’s wider business activities; the details below explain the current Academy experience.

2. Information used by Academy

• Public browsing and demo learning. You can browse without an account. Demo sign-in uses a fictional learner and does not register you with TOP. Demo cart items and enrollments are saved in your browser tab. Course steps, practice notes, quiz progress, and self-review answers are saved on your device, rather than submitted as graded work to TOP.
• TOP Accounts access. Where staff sign-in is enabled, Academy uses your TOP account identifier and sign-in information to establish a session. Academy keeps its own role, organization membership, access status, onboarding goal, terms acceptance, and administrative audit records. Shared personal details are managed through TOP Accounts.
• Support and technical information. If you contact us, we receive the details you send. Hosting and authentication services may process connection information such as your IP address, browser details, request times, and error logs to deliver and protect the service.

Use fictional examples in learning exercises. Do not enter client records, passwords, government identifiers, or other people’s confidential details in practice notes or support messages.

3. Why information is processed

Academy uses this information to remember learning activity, authenticate staff, enforce organization access, record administrative changes, and respond to support requests. We handle personal information under the applicable grounds in the Philippine Data Privacy Act of 2012, including providing a requested service, complying with legal obligations, and legitimate interests in service security where appropriate. Where consent is required, including for sensitive personal information unless another legal exception applies, it must be obtained for the relevant purpose. Reading this notice is not consent to unrelated marketing.

4. Cookies and storage on your device

Demo sign-in, cart, and enrollments use session storage for the current browser tab. Signing out clears that demo activity. Course progress and practice notes use local storage and remain after demo sign-out or closing the tab until you clear this site’s data in your browser. These learning records are not synced between devices and may be lost if browser data is removed. Avoid saving private notes on a shared device.

Staff sign-in uses cookies to secure the login flow and maintain the Academy session. Blocking cookies or browser storage can prevent sign-in or saving progress. The current Academy app does not include advertising trackers or a separate analytics tracker.

5. Videos and external websites

Some lessons embed YouTube videos using its privacy-enhanced embed domain. Loading a video embed connects your browser to YouTube, which may receive connection and playback information. This does not make playback anonymous. YouTube and other linked services handle information under their own policies, including Google’s Privacy Policy. Written lesson materials are available without playing a video.

6. Access, service providers, and transfers

Authorized TOP personnel and technology providers may access information needed to operate the service. Staff access records are available to administrators within their permitted scope. The current demo does not send your locally saved practice notes or quiz progress to employers or course providers. If organization reporting or cloud learning records are introduced, the applicable handling will be explained before collection.

TOP’s general policy explains disclosures to service providers and authorities, and safeguards for processing outside the Philippines.

7. Security and retention

Academy restricts staff functions by role and records administrative actions. No online service or shared device can provide absolute security. TOP’s general policy describes its security measures and retention approach, including records that may be kept for seven years or longer when required by law or business necessity. That is not a seven-year expiry for browser-only learning data: you control its removal through your browser. Contact us about retention or deletion of server-held account, support, and audit records.

8. Your rights and choices

Subject to applicable legal conditions, you may request access, correction, erasure or blocking, object to processing, withdraw consent where processing relies on it, and request portability where applicable. Some records may need to be retained for lawful purposes. We may verify your identity before acting on a request. You may also raise a complaint with the National Privacy Commission.

For Academy requests, contact TOP’s Privacy Officer using the details below and identify the Academy feature involved. TOP aims to respond to privacy concerns within 30 days under its general policy.

9. Updates to this policy

We will publish changes here with an updated date. New features such as real checkout, cloud-saved submissions, or certificates may require additional notices before they collect information.
